Archiving Salesforce Data

I’ve been approached by a number of customers who are looking to archive data from their Salesforce application.  There are two primary drivers I have heard cited:

  • The need to manage the retention of Salesforce data and easily find and access it for legal eDiscovory
  • Storage cost reduction for data that’s no longer active

Application Retirement – Preserving the Value of Data (Part One)

Whether the result of growth or acquisition, enterprises that have been around a decade or longer typically have large and complex information environments with lots of redundant and obsolete applications. But there’s always the worry that one day there will be a need to access the old applications’ data. So these applications are still managed and maintained even though the data is rarely needed resulting in sizable costs in license fees, maintenance, power, data center space, backups, and precious IT time. In many companies, there are hundreds, even thousands, of obsolete or redundant applications, and the business continues to support them with expensive production level infrastructure and SLAs.

But as we’re facing the longest double dip recession for 50 years, businesses are being forced to think about reclaiming this extraneous spend for more strategic purposes by retiring any outdated application…but without losing access to the data. Keeping data from dormant applications “live” as a safeguard is more than just good common sense. In many cases, keeping the data readily accessible is compulsory due to corporate, industry, and governmental compliance demands. But you needn’t spend full production costs to do so. (more…)

Stop Hoarding Data – Retire Your Old, Redundant Applications!

Just like your house needs yearly spring cleaning and you need to regularly throw out old junk, your application portfolio needs periodic review and rationalization to identify legacy, redundant applications that can be decommissioned to reduce bloat and save costs. If you have a hard time letting go of old stuff, it’s probably even harder for your application users to let go of access to their data. However, retiring applications doesn’t have to mean that you also lose the data within them. If the data within those applications are still needed for periodic reporting or for regulatory compliance, then there are still ways to retain the data without maintaining the application.  (more…)

Addressing the Big Data Backup Challenge with Database Archiving

In a recent InformationWeek blog, “Big Data A Big Backup Challenge”, George Crump aptly pointed out the problems of backing up big data and outlined some best practices that should be applied to address them, including:

  • Identifying which data can be re-derived and therefore doesn’t need to be backed up
  • Eliminating redundancy, file de-duplication, and applying data compression
  • Using storage tiering and the combination of online disk and tapes to reduce storage cost and optimize performance (more…)

Informatica + Symantec = Shrink Big Data + Shrink Big Backups

Earlier this month, during the 2011 Symantec Vision Conference (Las Vegas, NV), Symantec and Informatica announced an exciting new partnership to help customers rein in data growth and ensure compliance across all enterprise data.  Symantec will resell Informatica Data Archive, Informatica’s database archiving solution to Enterprise Vault and Netbackup customers.  By combining database archiving with Symantec’s market leading data protection, email and file archiving solutions, customers can now implement a universal approach to data archiving that spans structured and unstructured data. How Many Metadata Repositories Do You Have?

One of the key deliverables for an ILM project that my team is wrapping up is a metadata repository of all the database tables we have applied an ILM solution to.  In this repository, we list the database, schema and table name; what Record Series the data belong to; the corresponding retention period and criteria; business owner; and source information.  Not only will this repository be used to archive and purge data on a regular, operational basis, but it will also be used by Records Management to track Records Retention compliance.
